Some Stuff to Stew On

The Detail Behind a Large Corporate Event

With larger corporate events, communication with the event planner is probably one of the most important parts of the entire job. I like to know exactly what’s happening well before we arrive. That can mean getting maps and layouts of the venue, understanding where guests will be at different stages of the day and working through every service period with the organiser.

Where will the food be served?

Where are the guests coming from?

What time are they expected?

Are 200 people arriving at once, or are they coming through in separate groups?

Where do they need to meet?

How will they know where to go?

Where can our vehicles access the site?

Where are we setting up?

What happens if the schedule runs 20 minutes late?

They’re small details individually, but together they can be the difference between an event flowing beautifully and creating unnecessary headaches for the organiser. I even like knowing the venue well enough that if somebody stops one of our team members and asks where they’re supposed to be next, we can point them in the right direction. We’re there as part of the event, not just as the people serving the food.
